Position: Administrative Assistant

Under the guidance and direct supervision of the Managing Director and Finance and Administrative Director, the incumbent will perform the following functions:
| Administrative Tasks: |
- Maintain general office files and keep information and reference material in a manner that allows easy retrieval.
|
- Prepare correspondence and offer documents as required.
|
- Assist in logistics preparation and implementation of training, workshops, meetings, missions, travel and other awareness activities (exhibitions, fairs…).
|
- Assist in drafting reports and studies as well as in preparing electronic and printed material e.g. presentations and charts.
|
- Follow-up on contractual, administrative matters with clients/ counterparts/ consultants.
|
- Assist in assembling briefing material, documentation and correspondence for official meetings or missions.
|
- Input resumes into Entrust consultants data base.
|
- Translate reports/ documents as needed.
|
- Keep appointments, arrange office meetings for Managing Director and answer phone calls.
|
- Maintain office equipment and arrange for timely repairs/adjustments as necessary
|
- Undertake other office duties which may be requested by the Managing Director.
|
|
Financial Tasks:
|
- Follow-up with bank personnel, clients on financial issues related to invoicing and payments.
|
- Maintain petty cash records and follow up on consultants’ expenses.
|
- Maintain, present and compile financial documents for annual fiscal audit, tax payment or for Managing Director review.
|
- Monitor financial data, follow up on bank accounts, statements, balance sheets, tax records and wire transfers and inform supervisors of discrepancies, delayed/due payments.
|
- Prepare and follow-up on invoices, payments and other expenses.
|
- Any other financial duties as requested.
|
| Facilitation and Research Duties: |
- Review articles and reports.
|
- Participate in and report on meetings and workshops as required.
|
- Support in data gathering.
|
- Any other business as requested.
|
Minimum Qualifications: Education:
- University Degree in Business or Public Administration and Social Sciences or any other relevant discipline.
Experience and Skills:
- 3 to 5 years of relevant administrative experience is required at national or international level. Experience in the usage of computers, office software packages (MS Word, Excel, etc), knowledge of spreadsheet and database packages, and experience in data bases and web based financial systems.
Competencies:
- Excellent proficiency of Arabic and English written and spoken.
- Desire to learn new skills.
- Ability to work under pressure.
- Solid interpersonal skills
- Positive Attitude
- Ability to work with minimal supervision
